TAFE Queensland is looking to select the most appropriate provider for an enterprise wide software asset management (SAM) tool. TAFE Queensland seeks a SAM tool that provides the functionality to address the following critical use cases and capabilities:
- Discover installed software: Capturing platform configuration information and extracting a list of all installed software on a platform. This is a prerequisite to discovering installed software consumption.
- Discover installed software consumption (metering) Identifying software consumption usage information, including last run date, inactive users and unused features.
- Discover mobile (EMM/MDM) licensed app consumption (metering) Identifying software consumption usage information, including last run date, inactive users and unused features.
- Monitor and report on cloud software consumption (metering) Identifying software consumption usage information, including last run date, inactive users, unused features and licence consumption for common cloud applications including Microsoft M365, Azure, VMware, AWS and Adobe Creative Cloud.
- Normalize software consumption data: Consolidating multiple platform consumption datasets and other information to resolve duplicated or conflicting records. This creates a single, accurate, organized and categorized inventory of software consumption from data collected by multiple tools.
- Reconcile software asset information: Harmonizing contract, purchase and entitlement information with normalized inventory data. This creates an ELP, which is the balance between license entitlements and actual license consumption. The ELP provides a basis for compliance management, risk reduction, audit defense, contract (re)negotiations, license “true-ups” and software spending optimization.
- Optimize software entitlements and consumption: Presenting guided recommendations to prevent and remediate software compliance findings and opportunities to optimize software license consumption to reduce the number, type and expense of licenses needed and in use.
TAFE Queensland is also seeking information on optional or ‘value-add’ services and functionality that may be available directly or through a SAM services partner.
- Software Application Store: The ability to procure software from an approved third party through a catalog that can integrate with the SAM tool to reduce and unauthorized/unknown purchases.
- Software Inventory Services: On-demand services to augment TAFE Queensland staffing relating to data-entry, validation, inventory management, analysis and reporting:
- Software Professional Services: On-demand services to augment TAFE Queensland staffing relating to development and enhancement of SAM technical functionality, integrations and reporting.
- SAM Establishment Services: Assist TAFE in establishing a SAM practice through initial discovery, inventory establishment, reporting establishment, governance formation and advice.
- Discover software entitlement records: Integrating with supplier portals, sourcing and vendor management systems, and other data sources to obtain software contract, purchase and procurement records while tracking changes to software license policies as workloads evolve.
- Connectivity/adapters: The ability to interact with a range of different inventory data sources and types. Everyday use cases may include: populating software inventory data to the CMDB, obtaining SaaS consumption data, integrating with procurement tools to obtain software entitlement data, integrating with financial management tools to support software forecasting and chargeback, and integrating with existing discovery sources such as SCCM, inTune and JAMF.
